2023 - Operations Working Group Report April to August 2023

At the May Leadership Council meeting, it was decided that the schedule for submission of reports from Council Leads and Staff would  be changed from quarterly (every 3 months) to ‘quadrimestre’ (every 4 months) to better align with our church year. This  report includes Operations WG activities between April 1 and August 31, 2023 to adjust to this change. Going forward, the next Operations reports will be submitted at the end of December, April  and August each year. 

Since April, the Operations team has met via Zoom on  April 13, May 18, June 8 and July 20  and will meet again on September 21. We took a break in August. 

These meetings were attended by Joanne Pritchard (Lead), Norma May  (Treasurer), Bruce Munro (Assistant Treasurer), Peggy Jorgensen (M&P Lead) and either Barrie Clayton or John Naylor (Co- leads of Property) and  Mari Croizier (Convenor) until she stepped down at the end of May. Members-at-Large Bruce Munro and Marjorie McRae recorded the Record of Business Notes for the June and July meetings. A new Convenor has not yet been found. Please contact Joanne Pritchard or one our former Operations Convenors (Norma May, Jen Heidebrecht, Pat White or Mari Croizier) to learn more about this unique and essential role on the Operations team. 

Since April,  the Operations team has provided oversight, made decisions and taken  action on Agenda items in the following areas:

Finances

  • Oversight of monthly financial statements including the Restricted Funds

  • Quarterly review of McDougall’s Annual Budget 

  • Rebalancing of our Gift Card Fund

Ministry and Personnel

  • Renewal of Music Leaders Service Contracts

  • Harpal Chahal’s retirement as our custodian and the hiring of  Caretaker/Handyman Jeremiah Laquette

Property

  • Review and update of rental rates for September 2023

  • Re-keying of the church’s external doors  (completed in August)

  • Roof repair – completed in July 

  • Hot water heaters replacement (funds to cover cost  received from the Foundation in August)

  • Grounds upkeep, including research of solutions to the dandelion infestation)

Outreach and Social Justice (OSJ) Ministry Team

  • Receipt of UCC Healing Fund Grant for $15,000 for the OSJ Right Relations Project Team’s Reconciliation Project work: 

  • Operations decision to approve the OSJ recommendation that Shauna Kennedy (Right Relations Project Team Leader) and Rev. Tony Snow (Indigenous Lead for Chinook Winds Regional Council) be granted signing authority for the Healing Fund Grant Restricted Fund

Family and Community Ministry Team and the  Right Relations Project Team 

  • Reconciliation Mural Project :

  • Operations facilitated the coordination of the mural wall mounting work 

  •  a celebration of mural completion is planned for September 23

Other 

  • Operations arranged for the defibrillator information sessions in May and June

  • Operations researched wedding and funeral rates at other UCC churches, updated McDougall’s Funeral and Wedding rates and provided information to staff for the updating of information on the McDougall website and brochures 

  • New rates take effect once the updates have been made`
